Job Description

Administrative Assistant Duties Answer phone calls, emails, and customer inquiries. Manage calendars, appointments, and meeting schedules. Maintain customer and vendor databases. Prepare correspondence, reports, contracts, and presentations. Process invoices, payments, and purchase orders. Assist with inventory tracking and office supply management. Maintain filing systems and company records. Support winery management with administrative tasks and special projects. Coordinate communication between departments. Event Coordinator Duties Plan and coordinate winery events, weddings, private parties, wine tastings, and corporate functions. Meet with clients to discuss event requirements, budgets, and expectations. Prepare event proposals, contracts, and timelines. Schedule vendors such as caterers, musicians, florists, photographers, and rental companies. Conduct venue tours for prospective clients. Coordinate event setup, execution, and breakdown. Ensure compliance with winery policies, permits, and safety regulations. Manage guest lists, RSVPs, and event logistics. Resolve issues that arise before, during, and after events. Collect client feedback and assist with post-event evaluations. Customer Service Responsibilities Welcome visitors and guests to the winery. Respond to inquiries regarding events, wine tastings, and venue rentals. Provide exceptional customer service to clients and event attendees. Build positive relationships with customers, vendors, and community partners. Required Skills Strong organizational and multitasking abilities. Excellent verbal and written communication skills. Customer service and hospitality experience. Event planning and coordination experience preferred. Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling software. Experience in scheduling is a plus Experience with programs like Canva, Homebase, Clover POS, Asana, Calendly, VinoShipper, Tock, Eventbrite, etc. Develop event packages and marketing brochures. Social media and marketing background is a plus. Ability to work evenings, weekends, and holidays as events require. Attention to detail and problem-solving skills. Knowledge of wine, hospitality, or tourism industries is a plus. Typical Daily Tasks Check and respond to emails including event inquiries for weddings and private space rentals Update event calendars and schedules. Process event bookings and contracts. Meet with clients regarding upcoming events. Coordinate with vendors and winery staff. Prepare event materials and guest information. Conduct venue walkthroughs. Monitor event setup and ensure smooth operations. Handle administrative paperwork and reporting. This type of role is ideal for someone interested in hospitality, event planning, customer service, and office administration.
Pay:
$15.00 - $22.00 per hour Expected hours: 28.0 - 32.0 per week
