Database/Office Assistant for Administration is responsible to ensure the administrative processes and operations of the parish are done in collaboration with the PAA and Pastor. Under the direction of the PAA, the database/office assistant will provide this through efficient and professional management of the admin office. The successful candidate should have a significant working understanding of parish systems and processes and have strong communication, organizational, and interpersonal skills. The following identifies expected areas of responsibility. These are in the context of the entire Islands Catholic Parish Family (#1) and the Partners in the Gospel process. The Database/ Office Assistant for Administration will also be responsible for other duties as assigned.
Essential Position Duties/Responsibilities:
Promote and maintain a welcoming environment for all who visit or call the parish office Learn processes, maintain and update the ParishStaq Database system Maintain, recruit and instruct volunteers as needed for various administrative duties Maintain office supply inventory and reorders as needed Answer phone and walk-ins when volunteers are not available Assist those in need by providing appropriate referral services Maintain office filing system w/volunteers Assist in the review and editing of the weekly Bulletin and other communications Process incoming/outgoing mail Prepares letters, forms, brochures and correspondence for the offices Supports apostolates of the parish when requested, such as Faith on Fire and Rummage Sales Collaborates with the PAA for all parish-wide campaigns/mailings Attends office, parish, deanery, and diocesan meetings as necessary Manages Virtus Safe Environment Program Assist with the Parish Annual Report through ParishStaq Ensure staff meeting room set up bi-monthly Collaborate with Chancery Offices when called upon Member of the Partners in the Gospel Parish Family Leadership Team (PFLT) High school diploma required; Associates or Bachelor's degree, preferred Two years experience working in an admin setting, parish preferred Bilingual preferred, but not required Experience or similar experience implementing parish stewardship campaigns Experience in database systems MS Office 365 proficiency preferred, especially Teams and Outlook Ability to drive for work purposes on occasion Leads a life consistent with the Catholic faith and moral teaching A background check and participation in a Safe Environment Called to Protect class is required within 30 days after start date Ability to multi-task, prioritize, work well under pressure and meet constant deadlines Ability to communicate in a succinct and clear manner, whether verbal or written Any offered salary is determined based on internal equity, internal salary ranges, market data, applicant's skills and prior relevant experience, certain degrees and certifications.
