Here's what makes this seat different. A lot of our new patients find us through active marketing, and many of them start with a virtual consultation with the doctor before they ever walk through our door. The person in this role is the one who catches that patient right after that call and gets them scheduled. Speed matters here. Follow-through matters. If a lead sits for a day, we lose them. This is a dedicated front office position. You won't be pulled into the back to assist, and you won't be splitting your attention between two departments. The front desk is the job, and we want someone who takes real pride in running it well. What You'll Do Opening the Day Log into practice management software, phones, and email at the start of each day Check and return voicemails first thing Review the day's schedule, including new patients, treatment cases, and any special procedures Confirm appointments and flag anything that needs the team's attention Phones and Patient Communication Answer every incoming call professionally and help patients with questions and scheduling Schedule and reschedule appointments Confirm upcoming visits by phone, text, and email Respond to emails and online appointment requests New Patient Leads and Consultations Follow up promptly on marketing leads and get them scheduled Call prospective patients to discuss their inquiry and book them in Manage consultation scheduling through our online booking system Open and adjust consultation availability based on each doctor's schedule, and keep those openings filled Check-In and Payments Greet and check in patients Verify and update patient contact and insurance information Collect copays and outstanding balances at the time of service Make sure patient forms are completed before the visit The Schedule Manage and organize the daily schedule and patient flow Fill open appointment times Handle cancellations and no-shows, and get patients rebooked before they hang up Prepare schedules ahead of time, daily and weekly Records and Administration Maintain and update patient records and notes Scan and upload documents into patient charts Track specialty referrals and lab cases through to completion Handle front office follow-ups and administrative tasks What We're Looking For One year or more in a dental or medical front office, or strong customer service experience and a real willingness to learn dental Comfortable on the phone and able to steer a call toward an appointment without sounding pushy Organized enough to work from a checklist and finish what you start, even on a busy day Someone who follows up without being reminded, because leads and lab cases don't chase themselves Dependable and on time, since the front desk is the first thing patients see Warm with people and steady when a patient is frustrated Basic computer skills and quick to pick up new software Nice to Have, Not Required Experience with dental practice management software Archy. Familiarity with dental insurance verification and benefit breakdowns Bilingual Schedule and Pay Full time, five days per week. Pay is $22.00 to $26.00 per hour depending on experience.
