This vital role combines leasing responsibilities with administrative support, ensuring smooth operations and exceptional customer service. The ideal candidate will be proactive, organized, and possess a strong understanding of property leasing processes, legal regulations, and administrative procedures. Your energy and dedication will help foster positive relationships with prospective tenants and current residents while maintaining efficient office workflows. Duties This is a position that is partly located in our Leasing office at Randall Court and partly at Winslow Administration Office assisting the Executive Director to make up the full time position. Greet clients, answer telephone, process caller request, and answer forwarded calls and voicemails. Follow up as necessary. Typing, filing, preparation, and copying of any paperwork needed. Mail housing applications, update applications as needed and maintain applicant files in YARDI database and paper copy. Conduct prescreening of applications under the direction of Leasing Manager. Maintain waiting list on database and paper copies and conduct annually or biannually waitlist purge. Give tours of apartments and buildings to applicants. Organize and complete mailing and faxing of correspondence and third-party query information forms to banks, pharmacies, employers, landlords, etc. for resident records required for initial, interim, and annual recertifications. Maintain all residents' files in prescribed order, complete filing of paperwork and have them ready for inspections or review. Schedule interviews and other appointments as needed for Leasing Manager and Leasing Specialist. Process rent payments and EFT payments in database and prepare receipts as needed. Type monthly inspection letters, move out inspections and other correspondence as needed by Maintenance Supervisor Assist in emergency situations during regular working hours and after hours as needed. Attend workshops or seminars as required to advance job skills. Assist with new hire applications, reviewing applicants and setting up interviews. Assist in setting up new employees and updating benefits. Process monthly NAHBRS Transportation, Nurse Advocate and Service Coordinator reports. Take board meeting minutes for both OCHA and NAHBRS board meetings. Compile monthly board meeting documents on teams. Assist with yearly insurance changes. Assist in maintaining NAHBRS QuickBooks records. Process bills for NAHBRS. Assist NAHBRS employees with ordering supplies, scheduling repairs and ensuring timesheet and paperwork processing. Data entry for NAHBRS and OCHA. Assist with website, Facebook updates and advertising. Assist in scheduling meetings for Executive Director and help plan and execute events. Perform other duties as assigned by Executive Director and Leasing Manager necessary to complete the responsibilities of the Leasing Department and Admin.
Pay:
$21.00 - $22.00 per hour
