Responsibilities Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth Manage multi-line phone systems, directing calls accurately and courteously while handling inquiries efficiently Coordinate calendar management and schedule appointments for team members, ensuring optimal time utilization Perform data entry tasks with accuracy using Microsoft Office applications and specialized bookkeeping software such as QuickBooks Handle clerical duties including filing, proofreading documents, maintaining confidential information securely, and organizing office supplies Support office management activities by overseeing inventory, ordering supplies, and maintaining organized workspaces Provide customer support through clear communication via phone and email, addressing inquiries promptly and professionally Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with strong computer literacy skills Experience with QuickBooks or similar bookkeeping software for basic financial recordkeeping Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment Bilingual abilities are highly desirable to assist diverse client needs and enhance communication Strong phone etiquette combined with exceptional customer service skills to create positive interactions Proven clerical experience including data entry, filing, proofreading, and handling confidential information responsibly Effective time management skills to balance multiple responsibilities while maintaining accuracy and professionalism Previous office management or personal assistant experience is a plus to support daily operations seamlessly Join us in creating an energetic workplace where your organizational talents make a real difference!
