Job Description
The primary mission of Energy Services is to provide limited income families with the services and assistance necessary to prevent and or alleviate energy-related emergencies from occurring, while promoting initiatives that result in a family's long-term self-sufficiency. Energy Services is seeking qualified applicants for a Fiscal and Administrative Assistant for our office located in Madison, WI. Potential employees should have an outgoing personality, passion for working with limited and low income households, excellent communication skills, and strong attention to detail. Hours are Monday - Friday 8:30 - 5:00.
Summary:
To provide administrative support to the senior leadership team, and acts as a key support member to the fiscal team.Essential Duties:
Essential job duties for this position include the following items. Other duties must be performed as assigned or required. Contact person for company wide supply ordering process. Manages attendance tracking from daily employee calls. Enter journal entries into accounting system as requested by Fiscal team. Handles bank deposits on a weekly basis. Serve as backup support for Accounts Payable, including grant payments, telephone coverage, mail distribution and related functions. Processes employee expense reports through Accounts Payable. May serve as backup support for Fiscal Accountant for payroll processing, the payroll mailbox, and timesheet corrections. Approves all contract employee timesheets in specific employment agency portals and reconciles to the information in iSolved. Does the required weekly processing within iSolved for these employees. Assists with the required monthly files for contract compliance. Performs clerical responsibilities to support senior leadership team members as requested, which may involve handling confidential information. Schedule all company-related meetings, travel, etc. as requested. Maintains a high degree of confidentiality. Supports Senior Manager - Administration in the records retention duties including archiving and file set up. Prioritizes and multi-tasks multiple responsibilities and activities. Ensure staff follow all internal company policies and procedures. Answer incoming telephone calls in a professional and courteous manner. Perform other duties as assigned by supervisor and/or designee. Work toward continuous quality improvement. Stay current with changing technology, including software and Customer Service programs. Uphold, support, and promote all company policies and procedures. Ability to attend work onsite during assigned shift. Travel when required to attend charitable events, conferences, company meetings, etc.Supervisory Responsibilities:

Minimum 1-3 years experience of administrative assistant experience and accounting support. Associates degree in accounting preferred.Language Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.Mathematical Skills:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.Reasoning Ability:
Ability to apply common understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.Computer Skills:
Proficient. Ability to use/navigate the Internet and email, computers, word processing, graphics and multimedia, spreadsheets, and databases.Intellectual Demands:
