Job Description
Office Assistant Full-Time | Monday-Friday | On-Site | Shawano, WI We are looking for an organized, dependable, and customer-focused Office Assistant to join our team. This is a hands-on role for someone who enjoys variety, stays on top of details, and is comfortable balancing customer service, administrative support, basic accounting, and project coordination. No two days will look exactly the same. You'll work closely with our internal team, members, chapters, and event contacts to help keep day-to-day operations running smoothly. What You'll Be Doing Manage and respond to day-to-day customer and member inquiries, including inbox activity. Answer incoming phone calls and direct callers to the appropriate team member. Assist with accounting activities, including reconciliations, payments, ticket sales, and event-related financial documentation. Maintain information and records using company databases, Google Sheets, and other systems. Communicate with event contacts to collect documentation, payments, and other information needed for events. Prepare and assist with reports and accounting summaries. Provide daily support to our Administrative, Accounting, and Membership Coordinators. Help coordinate our quarterly magazine, working with the editor, marketing, sales, and internal team. Track magazine submissions, advertisements, payments, deadlines, past-due accounts, and content using Smartsheet. Coordinate internal magazine proofing and reviews to make sure publication deadlines are met. Take on additional administrative and customer service responsibilities as needs arise. What We're Looking For 2+ years of customer service or related experience preferred. Strong organizational skills and the ability to manage multiple priorities at once. Excellent attention to detail. Dependable, self-motivated, and comfortable working toward deadlines. Positive, customer-service-first attitude. Strong written and verbal communication skills. Working knowledge of QuickBooks , including basic reconciliations and payment posting. Proficiency with Excel, Google Workspace, and Microsoft 365 . Strong problem-solving skills. Ability to work independently while also being a collaborative member of the team. Flexible and willing to learn new responsibilities as the position evolves. Schedule & Location This is a full-time, on-site position , typically working 40 hours per week, Monday through Friday .
