Manage multi-line phone systems efficiently, directing calls to appropriate departments or personnel with clarity and courtesy. Schedule appointments, coordinate calendars, and organize meetings using productivity software such as Microsoft Office and Google Workspace. Perform data entry tasks accurately into spreadsheets and office management systems, maintaining organized records. Handle clerical duties including filing, proofreading documents, managing correspondence, and maintaining office supplies. Provide exceptional customer service by responding to inquiries via phone or email with professionalism and enthusiasm. Support office management activities such as bookkeeping using QuickBooks, managing client communication, and assisting with general administrative tasks to ensure operational efficiency. Skills Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry tools. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Effective phone communication skills complemented by proper phone etiquette and experience managing multi-line phone systems. Bilingual abilities are highly desirable to serve diverse client needs seamlessly. Prior office experience including clerical work, front desk responsibilities, or administrative support is preferred. Technical proficiency in office management software such as QuickBooks for bookkeeping tasks. Exceptional customer service skills with a friendly demeanor that fosters positive client interactions. Strong time management skills with the ability to prioritize tasks efficiently while maintaining accuracy in proofreading and filing duties. Experience in medical or dental receptionist roles is a plus; personal assistant experience or calendar management skills are also beneficial.
