The Receptionist greets all visitors and guests, answers incoming calls on a multi-line phone system, and routes them to the appropriate department. They respond to the general inquiries and provide administrative support to several departments throughout the resort.
Job Duties Performs general administrative support functions such as typing, copying, faxing, etc. (Essential) Greets all visitors and guests. Answers incoming calls on a multiple-line phone system and routes to appropriate individuals, taking messages as needed (Essential) Refers all inquiries to the appropriate individuals, or departments (Essential) Organizes, maintains, and coordinates office records and files in their proper locations (Essential) Updates and distributes resort internal phone list; maintains and updates fax machine speed dial numbers (Essential) Opens, sorts, and distributes incoming mail, UPS and FedEx shipments; prepares outgoing mail and FedEx shipments daily. Transports outgoing mail to the appropriate off-site postage receptacle (Essential) Ensures resort mailing labels and envelopes are updated with current information (Essential) Maintains an adequate amount of supplies for the mailroom (i.e. office supplies, postage, FedEx supplies, first aid, etc.); places office supply orders weekly (Essential) Ensures kitchen inventory is stocked and maintained, replenishing when needed. Places orders for coffee, tea, snacks, and miscellaneous kitchen supplies (Essential) Assists with ad hoc projects for various resort departments (i.e. data entry and mailings) Cleans and maintains the kitchen areas including counters, tabletops, and cabinet faces. Loads and unloads the dishwasher daily Places all maintenance repair and janitorial requests as needed Other duties as assigned Requirements High School Diploma or GED (Required) 1 year in multi-line phone system experience (Required) 1 year in administrative experience (Required) Excellent verbal and written communication skills Good organizational skills Basic computer proficiency in the Microsoft Office Suite, including the ability to use email and internet Must have a valid driver's license
