We're looking for an Office Coordinator/Receptionist who thrives on staying organized, helping others, and keeping an office running smoothly. From coordinating mail and office operations to supporting company events, meetings, and administrative projects, you'll have the opportunity to contribute across the organization and develop a broad understanding of our business. For someone looking to build their career in a specialized industry, this role also provides unique exposure to the world of medical professional liability insurance and the operations that support it What You'll Do Create a Great First Impression Serve as the primary receptionist, answering and routing incoming calls professionally and courteously. Greet visitors, maintain visitor logs, and help ensure office security procedures are followed. Receive and distribute deliveries, packages, and hand-carried items. Direct inquiries to the appropriate departments and team members. Keep Office Operations Running Smoothly Manage incoming and outgoing mail, including sorting, distributing, applying postage, and coordinating shipping services. Open, date-stamp, scan, index, and route correspondence accurately and efficiently. Coordinate document and claim distribution to the appropriate departments. Maintain office, mailroom, and supply inventories and place orders as needed. Support document retention, filing, and records management activities. Support Employees and Company Operations Assist with planning and coordinating company meetings, events, and Employee Engagement Committee activities. Coordinate conference room setup, including tables, chairs, and meeting materials. Schedule meetings and appointments as requested. Prepare meeting packets, marketing materials, and other administrative documents. Provide photocopying, scanning, and general clerical support across the organization. Maintain Professionalism and Confidentiality Handle confidential and sensitive information with discretion. Follow company policies and cybersecurity best practices. Support a professional, organized, and welcoming workplace environment. What We're Looking For Required Qualifications High school diploma or equivalent. 2-3 years of receptionist, office coordinator, or administrative support experience in a professional office environment. Strong customer service, communication, and phone etiquette skills. Proficiency with Microsoft Office applications. Experience working with office equipment such as printers, copiers, and postage machines. Strong organizational skills and attention to detail. Ability to manage multiple priorities while maintaining a positive and professional demeanor. Proven ability to work collaboratively and provide exceptional internal and external customer service.
