This position is responsible for providing professional front desk support while assisting with general office administration, facility coordination, compliance requirements, and maintaining accurate company records. The ideal candidate is detail-oriented, customer-service focused, and able to manage multiple priorities in a fast-paced logistics environment.
Essential Duties and Responsibilities:
Front Desk & Visitor Management Serve as the first point of contact for all visitors, customers, vendors, and guests entering the office. Greet and assist visitors in a professional and courteous manner. Follow C-TPAT (Customs-Trade Partnership Against Terrorism) security procedures for visitor management, including: Verifying visitor identification when required. Maintaining visitor sign-in/sign-out records. Ensuring visitors are escorted by authorized personnel when required. Following company security protocols to help maintain a secure facility environment. Answer and route incoming phone calls, emails, and inquiries appropriately. Receive, sort, and distribute incoming mail, packages, and deliveries. Office Administration & Support Manage daily office operations and provide administrative support to various departments. Maintain and update company information, including Organizational Charts, Employee Directories, etc. Order and maintain office supplies, breakroom supplies, and other office-related materials. Monitor inventory levels and coordinate replenishment to ensure office needs are met. Coordinate with vendors and service providers regarding office supplies, maintenance, and other administrative needs. Maintain organized electronic and physical filing systems. Assist with scheduling meetings, coordinating office events, and preparing meeting materials. Support onboarding activities by preparing workspaces, access requests, and administrative documents. Additional Responsibilities Provide general administrative support to management and HR department as needed. Assist with special projects and process improvement initiatives. Perform other duties as assigned.
Qualifications Required:
High school diploma or equivalent. 1+ years of experience in reception, administrative support, or office coordination. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Professional and friendly demeanor when interacting with employees, customers, and vendors. Ability to handle confidential information with discretion. Dependable, proactive, and detailed-oriented. Ability to work independently and as part of a team. Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
