Norman S. Wright is looking for a dynamic receptionist to be the welcoming face and efficient backbone of our Rancho Cordova, CA office. If you thrive in a fast-paced environment, can juggle multiple tasks, and love interacting with people, we want to hear from you! As our receptionist, you will be the first point of contact for visitors and callers, ensuring they receive a warm welcome and the information they need. You'll handle a variety of administrative tasks, from maintaining daily attendance sheets to scheduling meetings and updating our employee roster. Your organizational skills will be key in managing office supplies, tracking packages, and keeping our reception area in top shape. We're looking for someone with strong communication skills, both written and verbal, who can work independently while appreciating the value of teamwork. A high school diploma is required, with some college being a plus. You should be comfortable using computer programs like Excel and be able to manage time effectively, prioritize tasks, and meet deadlines. ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Answer phones, relay messages to relevant parties, greet and welcome visitors
  • Answer and refer calls or in-person inquiries as received
  • Maintain daily attendance sheet and submit this to Human Resources on a weekly basis
  • Receive and track packages for and from others
  • Prepare different types of mailing; receive & send out inter-office mail vis FedEx
  • Order office supplies, business cards and name plates
  • Schedule meetings in large and small conference rooms
  • Update employee roster and telephone extensions monthly
  • Ensure that all binders in the Reception Area are kept up to date
  • Always maintain a safe and clean work area by complying with NSW's policies and procedures and maintaining documentation of irregularities as observed
  • Ensure that he/she is aware and maintains a record of each staff's movement in and out of the organization
  • Update Quotes Log daily
  • Update factory logs monthly
  • Distribute factory/customer invoices daily
  • Straighten up the conference room after meetings, re-stock fridge as needed
  • Re-stock supplies and beverages in the main breakroom as needed
  • Send IOMs to customers as needed.
QUALIFICATIONS/EDUCATION REQUIREMENTS
  • High school diploma; some college a plus
  • Strong and exceptional customer service; friendly and professional demeanor
  • Can work independently and yet have the awareness and appreciation for teamwork
  • Detail oriented; puts a high premium on work accuracy
  • Strong communication skills both written and verbal
  • Ability to manage time, prioritize tasks and meet deadlines
  • Must be able to work with both external and internal customers in all levels
  • A problem solver and can always be relied on to stay calm and think on your feet
  • Must be flexible, dependable and have a sense of humor
PREFERRED SKILLS
  • Computer literacy is a must, solid experience with Excel
PHYSICAL REQUIREMENTS
  • Must be able to remain in a stationary position 50% of the time
  • This position may require occasional moving inside the office to access file cabinets, office machinery, etc
  • May require constant operation of a computer and other office productivity machinery, such as a calculator, copy machine, phone and computer printer

Pay:
$24.33 - $27.00 per hour Expected hours: 40.0 per week
