About Us At Victoria Community Counseling , we provide a safe, inclusive, and healing environment for our diverse community. Our busy therapy office relies on a dedicated team to support our clients' mental health journeys. We are looking for a warm, organized, and reliable Front Desk Receptionist to join our team and serve as the vital first point of contact for everyone who walks through our doors. Position Overview As our Front Desk Receptionist, you will set the tone for the client experience. You will create a welcoming, calm, and professional environment while efficiently managing daily front office operations. Key Responsibilities Client Care:
Greet clients warmly upon arrival, guide them to waiting areas, and notify the clinical team.Scheduling & Intakes:
Answer phone calls, respond to emails, complete initial client intakes, and schedule/reschedule therapy appointments using our electronic office software.Check-In/Check-Out:
Manage client intake forms, verify basic demographic information, and accurately collect co-pays or payments.Administrative Support:
Maintain strict client privacy in compliance with HIPAA guidelines, manage incoming/outgoing mail, and assist with basic record-keeping or data entry.Office Care:
Keep the reception and common office areas tidy daily, and perform a light cleaning of the bathroom on Saturdays.Qualifications & Skills Education:
High school diploma required; additional professional training or college coursework is preferred.Experience:
1+ years of experience in a front desk, customer service, or medical/wellness office role.Language:
Bilingual in English and Spanish is strictly required .Communication:
Friendly, empathetic, and professional communication skills—both verbal and written.Tech Savvy:
Advanced computer literacy and comfort with learning new electronic scheduling software.Core Strengths:
Strong attention to detail and the ability to multitask smoothly in a quiet yet fast-paced environment.Cultural Competency:
