San Rafael, CA (Downtown, near SMART Train)Schedule:
Full-Time, Monday-Friday, 9:00 AM-5:00PM, In-Person Compensation:
$24-$28/hour DOE Pay & Benefits $24-$28 per hour (depending on experience) 401(k) with company match after 6 months of employment Paid time off (PTO) after 6 months of employment Health & Dental plans available after 90 days of employment Paid federal holidays Paid sick leave Free parking Schedule Full-time (40 hours/week) Monday-Friday, 9:00 AM-5:00 PM In-person position About the Role We're looking for a proactive, detail-oriented Front Desk Associate to serve as the professional first point of contact for our growing real estate company. This role combines exceptional customer service with administrative support and day-to-day office assistance in a fast-paced, collaborative environment. This position is more than just answering phones and greeting visitors. You'll be expected to use available information, systems, and resources to understand what someone needs, determine the appropriate next step, and assist with matters that fall within the scope of the front desk. You'll also support daily office operations through a variety of administrative tasks, office coordination, and team support while helping ensure the office remains organized, efficient, and client-ready throughout the day. Responsibilities Answer incoming calls, gather relevant information, assist callers when appropriate, and route matters to the correct team member when needed Use company resources, systems, and available information to assist callers with routine questions, troubleshoot issues, and determine appropriate next steps within the scope of the role Assist tenants, prospects, owners, vendors, and other callers with common processes, including portal payments, explaining how to schedule property tours, troubleshooting routine scheduling issues, and appropriately documenting, routing, or escalating complaints and other inquiries Welcome clients, vendors, and visitors while providing exceptional customer service Receive, sort, scan, and distribute incoming mail and packages Complete routine local errands, including post office and bank runs, within walking distance of the office Maintain digital and physical filing systems Support administrative projects and assist multiple departments as needed Help keep the office clean, organized, stocked, and running efficiently What We're Looking For The ideal candidate is someone who: Communicates professionally in person, over the phone, and in writing Has exceptional attention to detail and takes pride in producing accurate, high-quality work Takes initiative, thinks ahead, and looks for opportunities to contribute Can gather information, use available resources, and apply sound judgment to determine what questions to ask, what action to take, and when or where to escalate an issue Is comfortable troubleshooting routine questions rather than simply transferring calls Can prioritize multiple responsibilities in a fast-paced environment Maintains strong organization, follows through consistently, and stays on top of details Adapts easily and is comfortable supporting a variety of tasks and responsibilities Is comfortable working independently while also collaborating with a team Is dependable, accountable, and committed to being a reliable team member Demonstrates a positive attitude, welcomes feedback, and has a desire to learn and continuously improve Required Experience Google Workspace (Docs, Sheets, Drive) OneDrive or similar cloud-based filing systems Ability to use standard office equipment and perform basic troubleshooting Previous customer service, hospitality or front desk experience. Spanish language skills (Intermediate or above) Preferred Experience AppFolio or similar property management software Microsoft Office Canva, Adobe Express, or similar software Requirements Ability to commute to San Rafael, CA (in-person position) Ability to complete routine errands at nearby banks and the post office, which requires walking several blocks Eligible to work in the United States Successfully pass a background check (in accordance with applicable laws) Why You'll Enjoy This Role Join a growing real estate company where your contributions make a visible impact every day.
