About the Opportunity As a part-time receptionist, you will be the first point of contact for all visitors and callers, playing a crucial role in creating a welcoming and professional atmosphere. You will be responsible for managing incoming calls, greeting customers, handling administrative duties, and providing exceptional customer service. Your attention to detail, strong communication skills, and ability to manage a variety of tasks will be key in ensuring the smooth operation of the office environment. .
What You'll Do:
Greet and assist visitors and customers in a friendly and professional manner, ensuring they are directed to the appropriate department or personnel. Manage incoming phone calls, direct calls to the appropriate parties, and take accurate messages as needed. Maintain a clean and organized reception area ensuring the environment is always presentable. Coordinate meeting room schedules, manage guest registrations, and prepare for customer visits, including arranging refreshments or conference room setup, reserving visitor parking spots, and ordering catering as needed. Stay apprised of the current Guest WiFi password and monitor notifications of updates from IT. Communicate with Facilities regarding maintenance issues. Handle incoming and outgoing mail, deliveries, and packages efficiently. Assist with administrative tasks such as filing, photocopying, scanning, and other office support duties as needed. Maintain office security by monitoring visitor access and issuing visitor badges as necessary. Provide general support to office staff, including scheduling meetings, managing appointments, and assisting with various projects and miscellaneous clerical tasks. Manage inventory of office supplies, ensuring all office supplies are well-stocked, and placing orders as required to ensure that all necessary materials are available. Help coordinate office events, meetings, activities, and assist with clean-up, in support of organizational goals and team collaboration. Ensure compliance with company policies and procedures, while promoting a positive company culture.
What You'll Bring:
Communication Skills :
Strong verbal and written communication skills are essential. Must be able to clearly and effectively interact with visitors, callers, and team members.
Customer Service :
Proven ability to deliver outstanding customer service, demonstrating empathy and professionalism in all interactions.
Organizational Skills :
Strong attention to detail with the ability to manage multiple tasks simultaneously and stay organized in a fast-paced environment.
Technological Proficiency :
Proficient in office software, including Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office phone systems and general office equipment.
Time Management :
Demonstrated ability to prioritize tasks and handle high-volume reception duties efficiently and accurately.
Professionalism :
A polished and professional demeanor with a focus on maintaining confidentiality and company policies.
Education and Experience:
Minimum of 2 years of experience in a receptionist or customer service role, with a proven track record of providing exceptional service in a professional setting. Conversational proficiency in Spanish or Vietnamese is preferred; fluency is a plus.
Schedule :
6-hour shift Day shift Monday to Friday Overtime and Saturdays as needed

Part-Time The actual compensation offered is based on a wide array of factors unique to each candidate, including but not limited to skill set, years and depth of experience, certifications, and other relevant business considerations.
