Job Description

We are looking for a detail-oriented Receptionist to support the front desk in California. This is a Contract position expected to begin as soon as possible, with an initial duration of about one month and the possibility of extension through December based on business needs. The person in this role will create a welcoming first impression, keep daily office activities organized, and provide dependable administrative support in a fast-paced environment.
Responsibilities:
  • Welcome guests and staff at the front desk and provide courteous, timely assistance with check-in and general inquiries.
  • Manage incoming communications by monitoring email, answering phones, and directing messages to the appropriate contacts.
  • Coordinate calendars and schedule appointments or site visits using Google Workspace tools such as Gmail, Google Docs, and Calendar.
  • Perform routine clerical work, including data entry, document preparation, scanning, and maintaining orderly digital and physical files.
  • Support day-to-day office operations by handling basic administrative tasks and helping keep the reception area organized and efficient.
  • Assist with shipping and mailing activities, including preparing outgoing packages and tracking deliveries when needed.
  • Use standard office software to create, update, and maintain records, spreadsheets, and correspondence.
  • Provide bilingual front desk support when needed to assist a wider range of visitors and callers.
