Job Description
The Receptionist / Administrative Assistant is responsible for creating a professional, welcoming first impression for visitors, customers, and employees while providing day-to-day administrative support to the office and leadership team. This role manages front-desk operations, incoming communications, office coordination, records, scheduling, and other administrative tasks to help ensure efficient business operations. Essential Duties and Responsibilities Reception and Customer Service Greet visitors, vendors, and employees in a friendly, professional manner. Answer, screen, and route incoming telephone calls; take accurate messages as needed. Maintain visitor sign-in procedures and notify employees when guests arrive. Receive, sort, and distribute incoming mail, deliveries, and packages. Coordinate outgoing mail, shipping, courier services, and package pickups. Maintain a neat, organized, and professional reception area. Administrative Support Provide general administrative support to managers and staff, including document preparation, filing, copying, scanning, and data entry. Schedule meetings, coordinate conference rooms, and assist with meeting preparation. Maintain calendars, contact lists, office directories, and shared administrative records. Draft routine correspondence, memos, reports, and presentations as requested. Assist with basic administrative or accounting documentation, as assigned. Office Coordination Monitor and order office, kitchen, and facility supplies within established budgets. Help plan and support company meetings, employee events, and other office activities. Maintain confidentiality when handling sensitive employee, customer, financial, or business information. Perform other related duties as assigned to support office and business needs. Required Qualifications High school diploma or equivalent required; associate degree or additional administrative training preferred. Two or more years of receptionist, customer service, office administration, or related experience preferred. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams. Strong telephone, written, and interpersonal communication skills. Professional demeanor and a customer-service-oriented approach. Excellent organization, time-management, and multitasking skills. Ability to work independently, prioritize competing requests, and meet deadlines. Strong attention to detail and ability to maintain confidentiality. Preferred Qualifications Experience supporting managers or executive leadership. Familiarity with office equipment, phone systems, shipping platforms, and electronic filing systems. Bilingual communication skills a plus Physical Requirements Ability to remain seated or standing for extended periods while operating a reception desk and computer. Ability to communicate effectively in person and by telephone. Ability to occasionally lift or move office supplies and packages weighing up to 20 pounds. Ability to perform repetitive tasks such as typing, filing, and using standard office equipment. Work Environment This position works primarily in a professional office environment and regularly interacts with employees, customers, vendors, and visitors. The role may require occasional schedule flexibility to support meetings, events, or business needs.
