This position combines administrative support for our Intake Department with front desk and client-facing responsibilities. As one of the first points of contact with our firm, the ideal candidate is naturally warm and outgoing, communicates professionally, and is comfortable balancing client interactions with administrative responsibilities throughout the day. Intake & Consultation Support Receive incoming calls from the answering service and direct callers to the appropriate legal team member as needed. Manage the firm's general information email inbox and respond to or route inquiries as necessary. Serve as the Consultation Attorneys' primary point of contact for all same-day consultation needs, including scheduling, rescheduling, last-minute changes, unconfirmed appointments, and obtaining any additional information needed for the consultation. Assist with general intake-related administrative tasks, including maintaining accurate notes and information within the firm's systems. Ensure messages, inquiries, and requests are promptly directed to the appropriate department or team member. Provide administrative support to the Intake Manager and Consultation Attorneys as needed. Front Desk & Client Experience Warmly greet and assist clients and visitors and maintain a friendly, professional front desk environment. Prepare the conference room for meetings and offer water, tea, or coffee to clients and attorneys. Maintain a clean, organized, and professional reception area and conference room. Buzz in visitors and deliveries upon arrival. Assist team members with general front desk questions and requests. Mail, Deliveries & Office Support Handle incoming and outgoing mail, including scanning and distributing mail to the appropriate recipients. Sign for and distribute packages and food deliveries. Prepare fresh coffee and help maintain an organized kitchen, including the coffee machines, dishwasher, counters, refrigerator, and microwave. Restock kitchen supplies and notify the Office Manager when supplies need to be reordered. Ensure conference room iPads remain charged and ready for use. Assist with conference room setup for internal meetings and office events and with organizing office or marketing supplies as needed. Qualifications Bubbly, warm, and outgoing personality with a naturally welcoming demeanor. Excellent verbal and written communication and customer-service skills. Professional and polished when interacting with clients, attorneys, visitors, and other professionals. Highly organized with strong attention to detail and the ability to multitask and shift priorities. Proactive, dependable, punctual, and willing to jump in and help wherever needed. Comfortable communicating by phone, email, and in person and learning new office software and systems. Ability to exercise discretion and maintain confidentiality. Prior receptionist, administrative, customer service, intake, or legal-office experience preferred. Bilingual English/Spanish required.
