The Position:
The Front Desk Receptionist will serve as the first point of contact for both new and existing patients and will provide administrative support to ensure efficient daily office operations. This position is responsible for answering phones and voicemails, checking emails, assisting with appointments, preparing patient charts, sending medical records, verifying insurance coverage, collecting copays and patient payments, calling in prescriptions as directed, maintaining accurate patient information, and assisting with patient documentation and account-related matters. Duties include but are not limited to:
- Answering phones in a professional manner in a variety of situations including voicemails, responding to questions with limited guidance, assisting patients with appointments, verifying we accept patients insurances or offer our flat rate fee to uninsured patients, and providing general support to the office as needed.
- Maintaining professional behavior at all times when interacting with patients, doctors, and other Heath Foot And Leg Clinic employees.
- Maintaining a clean organized work area.
- Maintaining confidentiality regarding all patient information and completing all procedures required to ensure that all patients inquiries are addressed in a timely manner.
- Prepare and submit invoices to medical record retrieval companies using established templates, verifying that the patient has been seen by the physician and that all required information and documentation are accurate and complete prior to submission.
- Ensure forms are reviewed and signed promptly and send completed paperwork to the appropriate recipient.
- Monitor Front office supply inventory and ensure supplies are adequately stocked and available for daily office operations.
- Prepare medical excuse letters based on physician recommendations
- Submit invoices to medical record companies and verify that the patient has been seen by the physician
- Contact patients to confirm, reschedule, or coordinate appointments
- Collect FMLA/Disability paperwork fee and ask required questions in order for the doctor to fill out the forms
- Maintain the EOD (end-of-day) and make sure the information is accurate and matches with clover transactions before the end of the day.
- Performing other duties as assigned.
