Full Job Description Job Summary:
The Front Desk Receptionist serves as the first point of contact for employees, visitors, customers, vendors, and other guests. This position is responsible for maintaining a professional, welcoming front-office environment and providing administrative and clerical support to ensure efficient day-to-day office operations. The ideal candidate is professional, organized, dependable, customer-service oriented, and able to manage multiple priorities while maintaining confidentiality.
Key Responsibilities:
Essential Duties and Responsibilities Greet and welcome visitors in a professional and courteous manner and notify appropriate personnel of their arrival. Answer, screen, and route incoming telephone calls and take accurate messages as needed. Maintain the reception area and ensure it remains clean, organized, and professional. Monitor visitor access and follow established visitor, security, and sign-in procedures. Receive, sort, and distribute incoming mail, packages, and deliveries. Coordinate outgoing mail and shipments, including courier and overnight services. Provide general administrative and clerical support to Human Resources and other departments as needed. Assist with scheduling meetings, conference rooms, appointments, and other office activities. Maintain office and front desk supplies and notify the appropriate person when replenishment is needed. Assist with filing, scanning, copying, data entry, document preparation, and recordkeeping. Assist with employee and visitor badges and other front-office access procedures, as applicable. Respond to general inquiries and direct employees, visitors, vendors, and customers to the appropriate department or individual. Maintain confidentiality when handling employee, company, customer, and other sensitive information. Assist with company meetings, employee events, and other administrative activities as requested. Follow company policies, safety requirements, security procedures, and established administrative processes. Perform other duties and special projects as assigned.
Qualifications:
High school diploma or equivalent is required; additional education or administrative training is preferred. Previous experience as a receptionist, administrative assistant, customer service, or similar office position is preferred. The successful candidate should have strong verbal and written communication skills, excellent interpersonal and customer-service skills, and the ability to interact professionally with individuals at all levels of the organization. Proficiency with Microsoft Office, including Outlook, Word, and Excel, is preferred. The position requires strong organizational skills, attention to detail, reliability, and the ability to prioritize and manage multiple tasks in a fast-paced environment.
