Job Summary We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and excellent customer service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to create a welcoming environment for clients, visitors, and staff alike. Responsibilities Greet visitors and clients warmly, providing exceptional customer service and directing them appropriately Manage multi-line phone systems, answer inquiries, and route calls efficiently using professional phone etiquette Maintain organized filing systems, including digital files and paper records, ensuring easy retrieval of information Perform data entry tasks accurately using spreadsheets, Microsoft Office, QuickBooks, Google Workspace, and other productivity software Assist with calendar management and scheduling appointments for staff or medical/dental professionals as needed Support office management duties such as ordering supplies, maintaining office equipment, and coordinating maintenance requests Handle clerical tasks including proofreading documents, preparing Word processing materials, and managing correspondence Skills Proficiency in Microsoft Office Suite (Word, Excel), QuickBooks and Google Workspace applications for document creation and data management Strong computer literacy with excellent typing speed and data entry accuracy Experience with QuickBooks or bookkeeping is a plus for handling basic financial transactions Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client populations Knowledge of multi-line phone systems and phone communication best practices Previous office experience in administrative or clerical roles, including front desk or customer support positions Excellent time management skills to prioritize tasks efficiently throughout the day Familiarity with office management procedures such as filing, proofreading, and calendar coordination Technical proficiency in productivity software, spreadsheets, and document formatting tools Strong customer service orientation with professional phone etiquette and client communication skills Experience as a medical or dental receptionist is advantageous but not required; training will be provided Join us to be an essential part of a vibrant team dedicated to delivering outstanding service while honing your administrative expertise!
