Job Description
Welcome guests and customers by greeting them in person or on the phone in a clear and concise manner and direct to appropriate personnel or take message if necessary. Extremely organized, detail oriented, have follow-through skills, communicate clearly, and be able to prioritize and multitask while helping to create a positive work environment. Candidates must possess strong Microsoft Office skills specifically with Excel, Word and Outlook. Maintains a thorough knowledge of the office, including location of various files, documents and reports. Keep desk and office organized at all times. Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies. Ensures operation of equipment by completing preventative maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Serve as liaison with service personnel when and if ever repairs are needed. Maintains a thorough knowledge of the office, including location of various files, documents and reports. Keep desk and office organized at all times. Research pricing on office supplies and furniture and maintain appropriate stock of office supplies. Assist with any special events needs (birthdays, office parties, etc.) Support shop as needed with material needs and maintain excellent communications with shop. Clearly communicate office and project needs. Coordinate supply needs between installers in the field and vendors. Be clear and concise with vendors. Keep track of inventory including deliveries and drop off of materials. Keep track of all quoted files and keep organized for easy access. Maintain list of current vendors and contacts for easy access. Research vendors and pricing and maintain database for easy access. Write up quotes for accuracy and speed by project managers and estimators. Conserves President's time by reading, researching, and routing correspondence: drafting letters and documents; collecting and analyzing information; initiating telecommunications. Assists with accounting functions, as necessary. Maintains a high level of confidence in both company operations and customer needs.
