Job Description

Part Time Guest Services Receptionist The Part-Time Guest Services Receptionist is responsible for customer service, booking pet reservations, processing payments, processing enrollments, and administrative duties in support of these functions. Additionally, they are responsible for maintaining & cleaning the front desk area. Minimum age requirement is 16 years old. The Guest Services Receptionist reports to the members of the management team.
Primary Duties:
1. Customer Service a. Our priority is to provide excellent service to the clients by greeting everyone that enters & offer assistance. b. Answer telephone calls promptly & professionally, offering assistance. c. Show appreciation to our clients for visiting and encourage them to use our services. d. Give tours of the facility and answer questions about our services, policies, and procedures. e. Coordinate with pet care staff when opening or closing to ensure proper pet care and client communication. 2. Reservations & Invoice Processing a. Enter "complete" reservations into system. b. Receive payments & process invoices c. Balance cash drawer at end of day 3. Check-In processing a. Confirm current client contact information & care instructions for pet for all services being provided. Check in pets as they arrive. 4. Processing Enrollment Paperwork and Required Vaccinations a. Process enrollment paperwork b. Monitor, follow-up, and document pet vaccinations
Other Job Duties:
1. Special Projects as assigned 2. Administrative a. File/Scan paperwork in client files b. Restock flyers and business cards as needed c. Make client reminder calls 3. Other a. Cleaning tasks as outlined in reception duties checklist b. Assist new staff in learning procedures & serving clients c. Other Duties as assigned Minimum Experience, Skills, Certification or Academic Background Required 1. High school graduate preferred Excellent oral & good written communication skills Good math skills & selling skills preferred Previous work experience demonstrating dependability 1-2 years experience providing client service & processing payments Self-motivated, independent worker with attention to detail Proven leadership and training skills Ability to work in a team environment Good decision and problem solving skills Good organization and planning skills Demonstrated flexibility and proven coping skills Demonstrates high level of technological proficiency
