Job Description
Job Summary We are seeking a dynamic and friendly Part-time Receptionist to join our team! This energetic role is vital in creating a welcoming environment for clients, visitors, and staff while ensuring smooth office operations. The ideal candidate will be highly organized, tech-savvy, and possess excellent communication skills. Duties Greet visitors warmly and direct them appropriately, ensuring a positive first impression. Manage multi-line phone systems efficiently, answering inquiries and routing calls with professionalism and courtesy. Handle data entry tasks accurately using productivity software such as Microsoft Office, spreadsheets, and Word processing tools. Maintain organized filing systems, both digital and paper-based, to support office efficiency. Schedule appointments and manage calendar entries using calendar management tools, coordinating meetings as needed. Assist with basic office management tasks including supply inventory, photocopying, and document proofreading. Provide excellent customer support by addressing inquiries promptly and professionally both in person and over the phone. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets for data organization. Strong computer literacy with the ability to quickly adapt to new software or technical tools such as QuickBooks or other office management programs. Excellent organizational skills with keen attention to detail and accuracy in data entry and proofreading. Exceptional phone etiquette and communication skills, including experience with multi-line phone systems and client interaction. Bilingual abilities are a plus to serve diverse client needs effectively. Demonstrated ability to manage time efficiently, prioritize tasks, and handle multiple responsibilities simultaneously. Previous office experience or clerical background that includes front desk duties, administrative support, or personal assistant tasks is highly desirable.
