Responsibilities Greet visitors warmly, determine their needs, and direct them appropriately with excellent phone etiquette and customer service skills Manage multi-line phone systems, screen calls, take messages, and transfer calls efficiently using professional communication techniques Maintain organized front desk operations, including filing, data entry, and managing office supplies to ensure a tidy and functional workspace Schedule appointments, coordinate calendar management, and assist with basic office management duties using productivity software such as Microsoft Office and spreadsheets Handle incoming correspondence, proofread documents for accuracy, and support clerical tasks including word processing and document preparation Utilize computer skills for data entry, updating records in QuickBooks or similar accounting software, and supporting client communication efforts Support team members with administrative tasks such as photocopying, filing, and assisting with special projects to enhance overall office productivity Experience Prior experience in an office environment or front desk role demonstrating strong organizational skills and professionalism Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with familiarity with spreadsheets and data management tools Technical proficiency in using multi-line phone systems, office management software, and basic computer literacy required for daily operations Bilingual abilities are highly desirable to support diverse client interactions and enhance communication within the team Demonstrated experience in customer service or client communication roles that require excellent phone etiquette and interpersonal skills Proven ability to manage time effectively while handling multiple responsibilities in a fast-paced setting Previous clerical or administrative experience including calendar management, filing systems, proofreading documents, and supporting personal assistant functions is preferred Join our team where your enthusiasm meets opportunity!
