Duties Greet visitors, clients, and vendors warmly, ensuring they feel welcomed and attended to promptly Answer multi-line phone systems with professionalism, providing accurate information or directing calls appropriately Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools Handle data entry tasks with precision, including filing, record keeping, and updating databases such as QuickBooks or other bookkeeping software Support office management activities by organizing files, proofreading documents, and maintaining office supplies Provide customer support through excellent phone etiquette and personalized assistance in person or via email Assist with clerical tasks such as photocopying, faxing, proofreading documents, and managing correspondence to enhance office productivity Experience Prior office experience in a reception or administrative role is preferred Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with multi-line phone systems and customer service environments required Familiarity with QuickBooks or bookkeeping software is advantageous for handling basic financial records Demonstrated organizational skills with the ability to prioritize tasks effectively and manage time efficiently Bilingual abilities are a plus for serving diverse client needs effectively Previous experience as a dental or medical receptionist or personal assistant enhances suitability for this role Join us to be part of a lively team where your organizational talents and positive attitude will make a real difference!
