Job Description
Job Summary We are seeking a dedicated and professional Receptionist to serve as the welcoming face of our non-profit organization. The ideal candidate will possess excellent communication skills, strong organizational abilities, and a passion for supporting community-driven initiatives. As the first point of contact, you will manage front desk operations, coordinate administrative tasks, and ensure a positive experience for visitors, clients, and staff alike. Duties Greet visitors and callers with professionalism, courtesy, and a friendly demeanor, ensuring a positive first impression. Manage multi-line phone systems efficiently, directing calls accurately and providing exceptional customer service. Handle incoming correspondence, emails, and inquiries promptly while maintaining confidentiality. Maintain organized filing systems, data entry records, and document management using Microsoft Office and Google Workspace tools. Schedule appointments, manage calendars, and coordinate meetings for staff and organizational events. Support office management tasks such as inventory control, supply ordering, and basic bookkeeping using QuickBooks or similar software. Assist with clerical duties including proofreading documents, preparing reports, and maintaining accurate records. Provide customer support by addressing inquiries from clients or community members with clarity and professionalism. Qualifications Proven office management experience within a non-profit or similar environment with strong clerical skills. Bilingual proficiency is highly desirable to effectively communicate with diverse community members. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications. Strong computer literacy with the ability to adapt to various software platforms for data entry and document processing. Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced setting. Exceptional phone reception skills coupled with good phone etiquette for professional client communication. Previous experience in front desk operations or personal assistant roles is advantageous.
