8:00 A.M. - 5:00 P.M Job Summary We are seeking a professional, dependable, and organized Legal Receptionist / Front Office Coordinator to join our law office. This position is the first point of contact for our firm and plays an important role in providing professional and courteous service to clients, defendants, courts, sheriffs, marshals, attorneys, and other members of the legal community. The ideal candidate is confident handling a busy phone system, comfortable communicating with people from a variety of backgrounds, highly organized, trustworthy with money and confidential information, and able to remain calm and professional in potentially stressful situations. Responsibilities Answer and direct incoming telephone calls in a professional and courteous manner. Communicate with defendants, clients, courts, clerks, sheriffs, marshals, attorneys, and other legal professionals. Take accurate messages and ensure calls are directed to the appropriate staff member. Greet clients and visitors and assist with general front-office needs. Receive, document, and process incoming payments and other funds in accordance with office procedures. Provide receipts and maintain accurate payment records. Handle cash, checks, credit/debit card payments, and other forms of payment as applicable. Assist with daily cash/payment reconciliation and communicate discrepancies promptly. Receive and distribute incoming mail, deliveries, legal documents, and correspondence. Maintain an organized reception area and assist with general office organization. Schedule appointments and assist with coordinating meetings as needed. Make outgoing calls and follow up with clients, courts, and other parties when requested. Accurately enter and maintain information in the firm's case-management or office systems. Handle confidential client and case information with discretion. Assist attorneys and legal staff with administrative and clerical tasks. Maintain professionalism and composure when interacting with individuals who may be upset, frustrated, or under significant stress. Follow firm policies and procedures regarding payments, confidential information, communications, and document handling. Perform other administrative duties as assigned. Qualifications Previous experience in a law office, legal environment, professional office, court, or customer-service setting is preferred. Excellent verbal and written communication skills. Professional and courteous telephone manner. Strong organizational and multitasking abilities. Excellent attention to detail and accuracy. Ability to handle money and maintain accurate financial records. Ability to maintain confidentiality and exercise good judgment. Comfortable working with computers, email, Microsoft Office, and office/case-management software. Ability to learn legal terminology, office procedures, and case-management systems. Reliable, punctual, and able to work independently as well as part of a team. Ability to remain calm, respectful, and professional in challenging situations. Prior legal experience is a plus, but we are willing to train the right candidate. Ideal Candidate The successful candidate will be someone who is friendly, professional, dependable, detail-oriented, and comfortable communicating with all types of people .
