Job Description
Job Summary The Front Desk Coordinator serves as the first point of contact for patients and visitors, representing the practice with professionalism, warmth, and efficiency. This role is responsible for managing patient scheduling, handling administrative tasks, and ensuring a smooth flow of operations at the front desk. Key Responsibilities 1. Patient Experience & Communication Greet patients and visitors warmly upon arrival. Answer phone calls promptly and professionally, addressing inquiries and routing calls as needed. Manage incoming emails and patient messages. 2. Scheduling & Appointment Management Schedule, confirm, and reschedule patient appointments efficiently to optimize the provider's schedule. Coordinate referrals from general dentists and ensure all necessary documentation is received prior to appointments. Monitor and manage cancellations or no-shows to minimize downtime. 3. Patient Records & Compliance Check patients in and out, ensuring all necessary forms are completed. Verify and update patient demographic and insurance information. Maintain HIPAA compliance with all patient interactions and data handling. 4. Billing & Insurance Support Verify dental insurance eligibility and benefits prior to appointments. Collect patient co-pays, balances, and other payments at time of service. Generate and send patient statements as needed. Work with the billing team to resolve patient account issues. 5. Administrative & Office Support Keep the reception area clean, organized, and welcoming. Coordinate incoming and outgoing mail, faxes, and packages. Assist with ordering and maintaining front office supplies. Support other team members as needed for day-to-day operations.
