Job Description
Job Summary We are seeking a dedicated and professional Front Desk Receptionist to be the first point of contact for our clients and visitors. This role is essential in providing excellent customer service and ensuring smooth office operations. The ideal candidate will possess strong organizational skills, have experience with multi-line phone systems, and be proficient in various office software applications. Bilingual candidates are highly encouraged to apply. Responsibilities Greet and assist visitors in a friendly and professional manner Sign for and inspect packages, refusing if damaged and being comfortable doing so. Returns of product to Carriers (UPS, Fedex etc.) Light office cleaning duties and office stock supply inventory Attending Marketing Events Manage multi-line phone systems, directing calls appropriately and taking messages as needed Perform clerical duties including data entry, filing, and maintaining organized records Utilize QuickBooks for basic bookkeeping tasks and manage office accounts Schedule appointments and manage calendars efficiently Provide customer support by addressing inquiries and resolving issues promptly Maintain a clean and organized front desk area Assist with administrative tasks as required, including proofreading documents and preparing reports or running product to technicians if needed Collaborate with team members to ensure seamless office management Skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace Strong typing skills with attention to detail for data entry tasks Excellent phone etiquette with the ability to handle multiple calls efficiently Strong Organizational skills to manage various tasks simultaneously Experience in customer service or support roles, ensuring a positive client experience Familiarity with office management practices and procedures Ability to proofread documents for accuracy and clarity Time management skills to prioritize tasks effectively Previous experience as a dental receptionist or medical receptionist is a plus Personal assistant experience is beneficial for managing schedules and appointments Join our team as a Front Desk Receptionist where your contributions will play a vital role in creating a welcoming environment for our clients while supporting the overall efficiency of our operations.
