Financial Services Assistant / Receptionist Job Summary The Financial Services Assistant provides administrative and client support to financial advisors and office staff while serving as the first point of contact for clients and visitors. This role combines reception responsibilities with financial services administrative support, ensuring efficient office operations, excellent client service, and accurate handling of financial documentation.

Rate / Benefits Part time role / flexible hours/Paid time off Hourly rate range $20/hr to $25/hr, depending on experience. Benefits can be discussed based on role Key Responsibilities Reception & Client Service Greet clients and visitors in a professional and welcoming manner. Answer and direct incoming phone calls and emails to appropriate staff. Schedule client appointments and manage advisor calendars. Maintain the reception area and ensure a professional office environment. Handle incoming and outgoing mail, packages, and deliveries. Assist with client check-in and ensure required forms are completed. Administrative Support Provide administrative assistance to financial advisors and office staff. Prepare and process client paperwork, account forms, and documentation. Maintain organized client files and ensure accurate record keeping. Enter and update client information in CRM or financial software systems. Assist with meeting preparation, including compiling reports and client materials. Track pending paperwork and follow up with clients as needed. Financial Services Support Assist with account opening and maintenance documentation. Process transactions such as transfers, contributions, or withdrawals in accordance with company procedures. Support compliance requirements by maintaining accurate documentation. Coordinate with custodians, insurance providers, and financial institutions as needed. Help prepare client review packets and financial reports. Qualifications Strong communication and interpersonal skills. Excellent organizational and time management abilities. Proficiency in Microsoft Office (Word, Excel, Outlook). Experience with CRM systems or financial software is a plus. Ability to handle confidential financial information with discretion. Administrative or customer service experience preferable, particularly in financial services, banking, or insurance.
