The Receptionist serves as the first point of contact for clients, visitors, and business partners while supporting the day-to-day administrative operations of the agency. This role is responsible for managing front desk activities, handling incoming calls and correspondence, and assisting team members with various administrative tasks to ensure a professional and welcoming office environment. The position offers opportunities for career growth and advancement within the organization.Key Responsibilities:
Answer and direct incoming telephone calls in a professional and courteous manner. Welcome and assist clients, visitors, vendors, and guests. Receive, open, sort, scan, and distribute daily mail and correspondence. Process invoices and assist with basic accounting-related tasks. Order and maintain office supplies and equipment inventory. Provide administrative support to team members and departments as needed. Assist with data entry, document management, and Agency Management System functions. Complete special projects and assignments as requested by management and team members. Prioritize workload effectively while managing multiple responsibilities and deadlines. Maintain confidentiality of sensitive company, client, and employee information. Contribute to a positive team environment and provide support to colleagues as needed. Perform other administrative duties as assigned.Qualifications:
High School Diploma or equivalent required. Minimum of 1 year of experience in a Receptionist, Administrative Assistant, or similar office support role. Proficiency with MS Office Suite and the ability to learn new software applications, including the Agency Management System. Basic accounting and invoicing experience. Knowledge of insurance industry concepts, practices, and procedures preferred. Strong verbal and written communication skills. Strong organizational, multitasking, and time management abilities. Demonstrated problem-solving skills with the ability to exercise sound judgment and make decisions with limited supervision. Ability to work both independently and collaboratively in a team environment. Professional, respectful, and customer-focused demeanor when interacting with employees, clients, and vendors. Dependable, reliable, and committed to maintaining excellent attendance and punctuality. Strong sense of ownership, accountability, and pride in work quality. Ability to handle confidential information with discretion and professionalism. Ability to pass a criminal background check, as permitted by law.Hours:
