Job Description
Job Summary We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires excellent communication skills, proficiency with office management tools, and the ability to multitask. Experience with Microsoft Office, and Google Workspace is highly desirable. The Receptionist will play a vital role in maintaining smooth office operations and ensuring a welcoming atmosphere for all potential students and staff. Part-Time Monday,Wednesday, Friday 8:45am-4:45pm Responsibilities Greet visitors and potential students promptly and professionally, creating a positive first impression Assisting students with registering for courses, collecting course tuition payments, and setting up payment plan arrangements with students according to IHCT payment plsn arrangement policy Manage multi-line phone systems, screen calls, and direct inquiries appropriately Handle incoming correspondence, emails, and messages with accuracy and timeliness Maintain appointment calendars and schedule meetings using calendar management tools Perform data entry, filing, and record keeping of the student roster, create student attendance sign in/out sheet to ensure organized documentation Assist with office management tasks such as ordering supplies and maintaining office equipment Support administrative functions including proofreading documents, managing invoices and supporting bookkeeping tasks Provide customer support by addressing inquiries and resolving issues efficiently Support clerical duties such as typing, proofreading, and maintaining office records using Microsoft Office and Google Workspace Uphold professional phone etiquette and ensure excellent customer service at all times Requirements Proven experience in office management, clerical work, or as a receptionist; medical or dental receptionist experience is a plus Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively Strong communication skills, both verbal and written; bilingual abilities are advantageous Ability to handle multi-line phone systems with professionalism and courtesy Demonstrated time management skills to manage multiple responsibilities efficiently Attention to detail for proofreading documents and managing records accurately Previous experience in customer service or support roles is desirable Professional appearance and demeanor with strong phone etiquette Office experience including filing, calendar management, and administrative support is required
