Job Overview We are seeking a motivated and organized Office Assistant/Receptionist to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and excellent customer service. This is a full-time, Monday through Friday position. As a highly visible member of the team responsible for overall clinic operations, the Office Assistant/Receptionist may be the first contact an individual has with our clinic. This employee will be professional and approachable, flexible and dependable, and capable of working effectively with diverse personalities. Responsibilities Greet patients at the front desk and assist with registration process, including collection of session fees. Facilitate completion of required patient paperwork. Schedule appointments and manage clinician waitlists. Verify insurance eligibility. Manage incoming calls and emails, ensuring timely responses and effective communication. Provide administrative support to agency clinicians. Manage agency forms. Perform data entry tasks accurately and efficiently, maintaining organized records. Assist with office management duties, including maintaining supplies and equipment. Support patient and community inquiries by providing information and resolving issues as needed. Perform light cleaning and organization of the office. Requirements Proven experience in a clinic environment or administrative role is preferred. Experience providing service in a mental health environment is a plus. Strong computer skills, including proficiency in Microsoft Office Suite and electronic health records. Excellent time management skills with the ability to prioritize tasks effectively. Strong attention to detail. Ability to multitask effectively in a moderately-paced clinic environment. Familiarity with front desk operations and customer support practices is a plus. Ability to work independently as well as collaboratively within a team. Effective communication skills, both verbal and written, are essential.
