Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly Answer multi-line phone systems efficiently, demonstrating excellent phone etiquette and customer service skills Manage front desk operations including scheduling appointments, handling mail, and maintaining visitor logs Support office management tasks such as organizing client and staff files. Assist with clerical duties like data entry, word processing, and maintaining office supplies inventory Communicate clearly with clients and staff to coordinate meetings and address inquiries in a timely manner Maintain a tidy reception area, ensuring all materials are organized and accessible for staff and visitors Managing staff schedule and clients appointment Coordinate coomunication with insurance and other regulatory agencies Requirements Proven experience in office management or administrative support roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and general computer skills Prior experience answering multi-line phone systems with professionalism and courtesy Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client needs effectively Exceptional customer service skills with a friendly demeanor and positive attitude Demonstrated attention to detail in proofreading, typing, and document management Ability to manage time effectively while handling multiple responsibilities simultaneously Previous personal assistant or front desk experience is advantageous but not required Join us as a Front Desk Staff member to be the welcoming voice of our organization!
