Job Description

Overview We are seeking a detail-oriented, and self motivated proactive Office Assistant to assist with our daily operations and ensure the smooth functioning of our office. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a solid understanding of administrative processes. This role is crucial in supporting our team and enhancing productivity through effective management of office functions. Duties Manage day-to-day office operations, but not limited to creating new job numbers and folders for new service calls, entering new jobs into QuickBooks & Paychex for job costing, ordering permits & inspections when needed, keeping current business licenses in various surrounding areas. Handle payroll processing and maintain accurate employee records in compliance with company policies. Utilize QuickBooks for accounting and reporting, ensuring accuracy in all financial documentation. Operate phone systems and demonstrate excellent phone etiquette while managing incoming calls and inquiries. Develop and implement organizational systems for scheduling, filing, and record-keeping to streamline office processes. Assist with human resources tasks, including onboarding new employees and maintaining employee files. Communicate effectively with team members, clients, and vendors to facilitate smooth operations. Experience Experience in an administrative role or as an Office Assistant is preferred. Proficient in QuickBooks or similar accounting software is highly desirable. Excellent organizational skills with a keen attention to detail. Prioritize tasks efficiently. Effective communication skills, both verbal and written, are essential for this role.
