As the first point of contact and the welcoming face of our practice, the Pediatrics Front Desk role is essential. You will set the tone for every family's experience with genuine warmth, attentiveness, and exceptional customer service. You will help children and parents feel safe, respected, and cared for from the moment they walk in or call—while also upholding our office policies with kindness and consistency. We are looking for a friendly, professional, and organized individual who genuinely enjoys working with children and families, remains calm under pressure, and can balance warmth with clear boundaries.
Schedule Monday-Thursday:
8:00 AM - 5:00
PM Friday:
8:00 AM - 3:00 PM Full-time, in-person | 8-hour shifts Responsibilities Greet and welcome children and families the moment they arrive, creating a warm, reassuring first impression Interact with kids in an age-appropriate, friendly manner that helps them feel comfortable in a clinical setting Answer, screen, and route phone calls with empathy, patience, and excellent customer service—especially when parents are concerned or stressed Provide clear, accurate information about our integrative approach, services, and office policies while remaining supportive Enforce office policies (check-in procedures, paperwork requirements, late arrival/cancellation guidelines, etc.) with kindness, professionalism, and consistency Keep the reception area tidy, inviting, and child-friendly, ensuring forms, materials, and educational resources are readily available Manage the flow of patients and visitors so the front desk remains organized and the waiting experience stays calm Receive, sort, and distribute mail and deliveries Maintain office security and control access through the front desk Update calendars, schedule appointments, and handle basic clerical tasks (filing, scanning, photocopying, etc.) Support a positive team environment while representing the practice's commitment to root-cause, whole-family wellness Ideal Candidate Proven experience as a receptionist, front desk coordinator, or similar customer-facing role (healthcare or pediatric experience strongly preferred) Genuine enjoyment of working with children and interacting with families Strong customer service skills paired with the ability to set and hold professional boundaries Calm, patient, and resourceful under pressure Excellent verbal and written communication Strong organizational and multitasking skills with the ability to prioritize in a busy clinical setting Professional appearance and demeanor High school diploma required; additional office or healthcare training is a plus
