Front Desk Receptionist 1900 Lafayette Road, Portsmouth, NH 03801 Full-time Full-time Position Summary The Front Office Receptionist serves as the first point of contact for patients, visitors, and vendors, creating a welcoming and professional experience from the moment they enter ProCare. This role is responsible for efficiently managing front desk operations, patient check-in and check-out, scheduling support, phone communications, insurance verification, and administrative tasks while ensuring exceptional customer service and protecting patient confidentiality. The ideal candidate is friendly, organized, detail-oriented, and thrives in a fast-paced medical environment. Essential Duties & ResponsibilitiesPatient Experience Greet all patients and visitors in a warm, courteous, and professional manner. Provide an outstanding customer service experience while maintaining patient privacy. Answer questions and direct patients to the appropriate staff member or department. Maintain a clean, organized, and welcoming reception area. Check-In & Check-Out Check patients in and out accurately and efficiently. Verify demographic and insurance information at every visit. Collect co-pays, balances, deductibles, and other patient payments. Obtain required signatures on consent forms and practice documents. Ensure all required documentation is completed before appointments. Scheduling Schedule, reschedule, and confirm appointments according to provider protocols. Assist with appointment reminders and cancellation management. Coordinate referrals and follow-up appointments as directed. Help optimize provider schedules while maintaining excellent patient service. Telephone & Communication Answer incoming calls promptly using professional telephone etiquette. Route calls and messages accurately. Respond to patient inquiries within the scope of the position. Communicate effectively with providers, clinical staff, and other departments. Administrative Responsibilities Scan and upload patient documents into the electronic medical record. Maintain accurate patient records. Process incoming mail, faxes, and other correspondence as assigned. Assist with administrative projects and front office duties as needed. Insurance & Registration Verify insurance eligibility when applicable. Obtain or verify referrals and authorizations as directed. Ensure patient registration information is complete and accurate. Compliance Protect all Protected Health Information (PHI) in accordance with HIPAA regulations. Follow all ProCare policies and procedures. Maintain confidentiality of patient and company information. Complete required compliance and safety training. Teamwork Collaborate with providers and staff to ensure efficient patient flow. Assist coworkers during busy periods or staffing shortages. Float between office locations when needed to provide coverage. Demonstrate flexibility and a positive attitude in support of practice operations. QualificationsEducation High school diploma or equivalent required. Medical office training or certification preferred. Experience Minimum one year of customer service experience required. Medical office experience preferred. Experience with electronic medical records (EMR) preferred. Knowledge, Skills & Abilities Excellent customer service skills. Strong verbal and written communication. Professional demeanor and appearance. Ability to multitask in a fast-paced environment. Strong organizational skills and attention to detail. Basic computer proficiency, including Microsoft Office. Ability to learn electronic medical record systems. Ability to work independently and as part of a team. Strong problem-solving skills. Dependable, punctual, and adaptable. Physical Requirements Ability to sit or stand for extended periods. Frequent use of computers, phones, and office equipment. Ability to occasionally lift up to 20 pounds. Frequent walking throughout the office. Ability to communicate effectively with patients and staff. Work Environment This position is performed in a professional outpatient medical office. The employee may be exposed to routine healthcare environments and must adhere to all infection prevention, OSHA, and HIPAA guidelines.
