Full Job Description Overview:
Under the direction of the Program Manager, the Receptionist manages employee records, HR compliance processes, review schedules, onboarding and hire processes support to ensure accurate administrative operations and regulatory compliance.
Major Duties and Responsibilities:
  • Greet and assist visitors, families, guardians, staff, and community partners in a professional and welcoming manner.
  • Answer, screen, and direct incoming phone calls professionally.
  • Take accurate messages and route information to the appropriate staff members.
  • Provide front desk and general administrative support.
  • Assist with daily scheduling updates and office communication.
  • Maintain accurate office records, forms, attendance records, and program materials.
  • Assist with filing, scanning, copying, printing, and other routine office tasks.
  • Use Google Workspace, AxisCare, HHAeXchange, and other office systems as needed.
  • Support communication between administrative staff, program staff, and leadership.
  • Maintain an organized and welcoming front-office environment.
  • Handle confidential information appropriately and follow confidentiality and HIPAA-related expectations.
  • Provide administrative support to a team serving adults with intellectual and developmental disabilities.

Required Qualifications:
  • High school diploma or equivalent required.
  • Previous experience in reception, office administration, customer service, healthcare, school office, or human services preferred.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management skills.
  • Basic computer, email, and data-entry skills.
Preferred Qualifications:
  • Familiarity with Google Workspace preferred.
  • Experience with AxisCare, HHAeXchange, or scheduling systems is a plus.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Professional, dependable, respectful, and team oriented.
  • Comfortable working with adults with intellectual and developmental disabilities.
  • Ability to communicate effectively with staff, families, guardians, and community partners.
  • Ability to manage multiple tasks while maintaining accuracy and professionalism.
Salary:
$18/hr
