We are currently seeking a Receptionist / Office Assistant to join our office team. This position plays an important role in keeping our daily operations organized while providing exceptional customer service to our clients and a welcoming experience for guests visiting our showroom. The ideal candidate is friendly, organized, dependable, detail-oriented, and comfortable communicating with customers and working as part of a team. Responsibilities Greet guests visiting the showroom and provide a welcoming, professional first impression Answer incoming phone calls and assist customers with questions, requests, and general information Coordinate with clients via phone and email to schedule and confirm service appointments and estimates Respond to general customer inquiries and direct more complex questions to the appropriate department or team member Maintain accurate customer information, appointment details, and notes within company scheduling and computer systems Monitor the daily schedule and communicate changes or updates to the appropriate team members Assist with general office duties and administrative tasks as needed Help keep the reception area, showroom, and office areas organized and presentable Assist sales and management with various administrative tasks and projects Key Qualifications Strong verbal and written communication skills Friendly, professional, and positive attitude Excellent customer service skills Highly organized with strong attention to detail Ability to multitask, prioritize, and stay organized in a busy office environment Reliable, dependable, and punctual Ability to work effectively as part of a team Comfortable communicating with customers by phone, email, and in person Ability to learn new computer programs, scheduling systems, and office technology Basic computer skills, including email, internet, and Microsoft Office or similar programs Ability to maintain confidentiality and handle customer information professionally Previous receptionist, office assistant, administrative, or customer service experience is a plus Work Environment Office-based position Professional, team-oriented, and supportive work environment Regular interaction with customers, sales staff, managers, and field technicians Opportunity to learn about the hearth and chimney industry and develop new skills Opportunities for growth and advancement within a rapidly growing company Why Join Allphase Complete Fire and Chimney?
