Responsibilities Greet visitors, clients, and staff with professionalism and courtesy, providing exceptional customer service at the front desk Manage multi-line phone systems, directing calls efficiently and taking detailed messages as needed Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents and records Perform data entry tasks accurately using spreadsheets, Microsoft Office applications, and Google Workspace tools Schedule appointments, manage calendars, and coordinate meetings for team members or executives Handle incoming correspondence, including emails and mail distribution, with attention to detail and promptness Support office management activities such as supply inventory checks, order processing, and basic bookkeeping using QuickBooks or similar software Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Calendar) for document creation and communication Strong computer literacy with excellent typing speed and accuracy for data entry and word processing tasks Experience with multi-line phone systems and phone etiquette to ensure clear communication channels Bilingual abilities are highly valued to assist diverse client needs effectively Demonstrated organizational skills with the ability to prioritize tasks efficiently in a busy environment Knowledge of office management procedures including filing systems, scheduling software, and basic bookkeeping practices Excellent customer service skills with a friendly demeanor and professional presence at the front desk Technical proficiency in office productivity software along with general computer skills for troubleshooting common issues Experience in clerical roles such as data entry, proofreading documents, or supporting administrative functions in healthcare or dental offices is preferred Ability to handle confidential information discreetly while maintaining high levels of accuracy in all tasks Join us to be part of a dedicated team that values professionalism, efficiency, and positive client interactions.
