Job Description

Client Services Coordinator A well-established plaintiff's personal injury law firm in the Hudson Valley is seeking a professional, organized, and personable Client Services Coordinator to join its team. This is a full-time, in-person position and is not a remote opportunity. The Client Services Coordinator serves as an important first point of contact for prospective and existing clients. The ideal candidate is compassionate, dependable, comfortable handling a high volume of telephone calls, and able to communicate professionally with individuals who may be dealing with difficult or stressful circumstances.
Responsibilities include:
Answering and directing incoming telephone calls promptly and professionally; Greeting clients, visitors, vendors, and other guests; Identifying the nature and urgency of incoming calls and directing each matter to the appropriate attorney or staff member; Gathering preliminary information from prospective clients and coordinating prompt follow-up by the firm's intake team or an attorney; Assisting with the scheduling and confirmation of client appointments ; Communicating with existing clients regarding routine questions and directing legal or case-specific inquiries to the appropriate team member; Accurately documenting telephone calls, messages, client communications, and follow-up items in SmartAdvocate; Assisting clients with forms, electronic signatures, and other administrative aspects of the intake process; Processing incoming mail, correspondence, and electronic documents; Scanning, uploading, labeling, and routing documents to the appropriate electronic case files; Maintaining an organized and professional reception area; Providing general administrative support as needed.
Qualifications:
Prior receptionist, client service, administrative, or law-office experience preferred; Excellent telephone etiquette and interpersonal skills; Compassionate and patient approach when communicating with injured clients and their families; Ability to remain professional and composed during difficult or emotional conversations; Strong organizational skills and attention to detail; Ability to manage multiple calls, messages, and assignments efficiently; Dependable attendance and punctuality; Strong written and verbal communication skills; Ability to maintain confidentiality and exercise appropriate discretion; Proficiency in Microsoft Office; Experience with SmartAdvocate or comparable case-management software is preferred; High school diploma or equivalent required.
Compensation:
$42,000 - $48,000 annually, based on experience and qualifications. All inquiries and applications will be kept strictly confidential.
