The ideal candidate will possess strong communication skills, technical proficiency, and a proactive attitude to create a positive first impression for visitors and clients alike. Duties Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression. Manage multi-line phone systems, screen calls, and direct inquiries efficiently using excellent phone etiquette. Handle appointment scheduling and calendar management for staff using digital tools like Google Workspace or Microsoft Office. Perform data entry and maintain accurate records through filing systems, spreadsheets, and database management. Support office operations by managing supplies, coordinating mail distribution, and maintaining cleanliness of the reception area. Assist with basic bookkeeping tasks such as invoicing or tracking expenses using QuickBooks or similar software. Provide customer support by addressing inquiries promptly and professionally, ensuring high levels of client satisfaction. Requirements Proven experience in office management or as a front desk receptionist with clerical or administrative responsibilities. Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace, spreadsheets, and productivity software. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional communication skills both verbal and written; bilingual ability is a plus. Demonstrated experience with multi-line phone systems, data entry, filing, and proofreading. Knowledge of customer service best practices and phone etiquette to support client communication seamlessly. Technical proficiency in office equipment such as printers, scanners, and basic troubleshooting skills. Previous experience in specialized settings such as medical or dental offices is advantageous but not mandatory.
