Organization Description North Albany Wellness Center is a multi-clinician practice dedicated to providing mental health counseling to children, teens, and adults, including individuals, couples, and families. Our mission is to serve our community with compassionate care while supporting our therapists and staff both in our Albany clinic and through telehealth services. Position Overview Be a collegial and contributing member of a team of professional therapists and office staff who help clients heal and grow into more mentally and emotionally healthy individuals. Collaborate closely with Intake and Billing to deliver administrative/clerical support to team members and excellent customer service to clients. This position reports to the Practice Manager. Responsibilities Customer Service Greet clients warmly upon arrival and manage check-in/check-out procedures efficiently Operate multi-line phone systems to answer inquiries, schedule appointments, and direct calls professionally Maintain organized office files, data entry records, and confidential information with precision Manage appointment calendars using Microsoft Office tools and calendar management software Support bookkeeping tasks using QuickBooks for billing, invoicing, and expense tracking Handle clerical duties such as proofreading documents, filing records, and managing office supplies Provide excellent customer support through clear communication, active listening, and timely follow-up Office Support Scan and upload documents to clients' digital charts in our EHR software, SimplePractice Fax documents to other offices using an online fax service Maintain hard copy paperwork for clients and providers Help coordinate the client discharge process (communications, forms, scheduling) Coordinate and submit prior authorization requests Provide limited IT support to staff (e.g. Printer connection, Google Workspace or EHR features) Monitor, order and stock office supplies, snacks, etc Light housekeeping/restock bathrooms (e.g. mid-week refresh, disinfect door handles and lobby chairs, etc) Set out/bring in trash & recycling cans Assist providers and management with various tasks as needed or assigned Meetings, Trainings, and Professionalism Attend staff meetings/trainings, typically once per month Encourage other NAWC counselors and staff (we are a team!) Exhibit excellent customer service skills and attention to detail while multitasking Be professional and courteous in all written and verbal communications with clients, colleagues and outside parties Demonstrate strong integrity and ethical decision making: Follow legal, ethical and professional obligations of HIPAA law and the Oregon Board of Licensed Professional Counselors and Therapists Qualifications High school diploma or GED required; associates or bachelor degree in human services or psychology preferred Experience in mental health or other healthcare office preferred; experience in customer service Have an appreciation and basic understanding of the counseling profession Excellent written and verbal communication skills in English. Bilingual in Spanish a bonus Comfortable with computers and web-based apps, such as Google Workspace.
