As the first point of contact for patients, referral sources, and visitors, the Receptionist plays a vital role in creating a positive customer experience while supporting the daily operations of the office. The ideal candidate is professional, detail-oriented, and able to manage multiple tasks in a fast-paced healthcare environment. Key Responsibilities Greet patients, caregivers, and visitors in a courteous and professional manner. Answer and direct incoming telephone calls promptly and accurately. Schedule appointments and coordinate patient visits as needed. Verify patient demographic and insurance information. Collect required documentation, including physician orders, insurance cards, and identification. Maintain accurate patient records and scan or file documentation in accordance with company policies. Assist with intake paperwork and obtain required signatures. Process incoming and outgoing mail, faxes, and emails. Coordinate communication between patients, physicians, referral sources, and internal departments. Monitor and maintain a clean, organized, and welcoming reception area. Assist with inventory of office supplies and place orders as needed. Support administrative staff with data entry, filing, and other clerical duties. Maintain patient confidentiality and comply with HIPAA and company policies. Perform other administrative duties as assigned. QualificationsRequired High school diploma or equivalent. One or more years of receptionist, front desk, customer service, or administrative experience. Strong verbal and written communication skills. Excellent organizational and multitasking abilities. Proficiency with Microsoft Office (Word, Outlook, Excel) and standard office equipment. Ability to work independently and as part of a team. Professional appearance and positive attitude. Preferred Experience in a healthcare, medical office, or Durable Medical Equipment (DME) setting. Familiarity with medical terminology and insurance verification. Experience with electronic medical records (EMR) or healthcare management software. Skills and Competencies Exceptional customer service and interpersonal skills. Strong attention to detail and accuracy. Ability to prioritize multiple tasks in a fast-paced environment. Dependable, punctual, and professional. Problem-solving and critical-thinking skills. Ability to maintain confidentiality and handle sensitive information. Physical Requirements Ability to sit, stand, and walk for extended periods. Frequent use of computers, telephones, and other office equipment. Ability to occasionally lift up to 20 pounds. Work Environment This position is based in a professional office environment within a Durable Medical Equipment company.
