Job Description
We are seeking an upbeat and happy Receptionist Office Assistant to join our team and provide essential administrative support across daily office operations. This role is ideal for a proactive professional who enjoys creating structure, improving efficiency, and supporting team success through exceptional detail-oriented and highly organization and communication. You will welcome clients as they walk in and greet them warmly over the phone. Our office operates at a very fast pace and handles strictly confidential information. The successful candidate will assist managers and employees with administrative tasks, coordinate schedules, maintain records, support office procedures, and serve as a key point of contact for internal teams and external clients. Key Responsibilities
First Impressions:
Greet arriving clients with an enthusiastic and positive attitude. While providing professional front-office supportPhone Management:
Manage incoming calls with a warm, energetic, and professional voice. Professionally handle messages and correspondence to and from clients.Message Routing:
Take detailed messages and ensure they get to the right team member.Coordination of Calendars:
schedule appointments on multiple calendars and confirming upcoming appointments with clients.Work Order Scheduling:
Schedule and coordinate work orders for the entire office workload as it comes in.Data Organization:
Securely file and save emails into individual digital client folders. Maintain accurate electronic and physical filing systemsClient Outreach:
Make cold calls to past clients to schedule upcoming appointmentsEfficiency:
Multitask effectively to handle daily front-desk operations QualificationsSoftware Knowledge:
Proficiency with QuickBooks and Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Experience with Drake Software is a major plus.Communication:
Reliable message-taking skills and strong professional follow-up habits.Discretion:
Strong sense of integrity and commitment to maintaining data privacy.Personality:

Proven ability to manage a heavy workload and stay positive in a fast-paced environment. Strong organizational skills with the ability to prioritize multiple tasks and deadlines. Education & Experience- High school diploma or equivalent required
- Additional certification or training in Administrative Assistance, Office Management, or a related field is a plus
