Job Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Duties Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression. Answer multi-line phone systems promptly and courteously, directing calls efficiently to appropriate departments or personnel. Manage appointment scheduling and calendar coordination using productivity software and calendar management tools. Perform data entry tasks accurately within spreadsheets, databases, and accounting software such as QuickBooks. Handle incoming and outgoing mail, filing documents, and maintaining organized records for easy retrieval. Support office management by overseeing supply inventory, coordinating maintenance requests, and assisting with clerical tasks like proofreading and word processing. Provide customer support through clear communication, problem-solving, and ensuring client inquiries are addressed promptly. Skills Strong computer literacy with proficiency in Google Tools and familiarity with spreadsheets and data entry. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Exceptional phone etiquette with experience managing multi-line phone systems and providing professional customer service. Bilingual abilities are highly desirable to assist diverse clients and team members effectively. Proven office management experience including calendar management, filing systems, and clerical support. Technical proficiency in office productivity software along with quick adaptability to new tools or systems. Strong typing skills with attention to detail for proofreading documents and maintaining accurate records. Pay:
$10.00 - $15.00 per hour Expected hours: 10.0 - 20.0 per week Application Question(s): Please submit a short video responding as though you are speaking on the phone with a prospective parent who is interested in joining our organization.
The parent says:
"Hi, I'm looking for an activity for my daughter, but I'm not really sure what program would be best for her. Can you tell me how everything works?" Respond exactly as you would if you were our front desk team member speaking with this parent. Please write the complete email response you would send to the following parent: Hi, my daughter is 4 and is interested in gymnastics. Can you tell me about your program (classes, times and dates, cost, and how we get started)? Respond as though you are representing our organization. If information is missing that you would need before making a recommendation, handle that naturally in your response. A parent comes to the front desk frustrated because they believe they were charged incorrectly. You review the account but are not immediately sure whether the charge is correct. Walk us through exactly what you would say to the parent and what you would do next.
