Overview We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and supporting office management tasks to ensure a smooth and professional environment. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency with office technology. Duties Greet visitors and clients warmly, ensuring a positive first impression of the organization Answer multi-line phone systems promptly and professionally, directing calls efficiently Manage appointment scheduling and calendar management for staff and departments Handle data entry, filing, and document proofreading to maintain accurate records Utilize computer skills with Microsoft Office, Google Workspace, and other office management software to support daily operations Assist with clerical tasks such as photocopying, faxing, and organizing files Support bookkeeping activities using QuickBooks or similar accounting tools when necessary Maintain a clean and organized front desk area, ensuring all supplies are stocked and equipment is functional Provide customer support by addressing inquiries and resolving issues with professionalism and courtesy Support office management initiatives by coordinating administrative projects and ensuring timely completion Qualifications Proven office or administrative experience, including clerical duties and customer service roles Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills Experience with multi-line phone systems and phone etiquette essential for professional communication Bilingual abilities are highly desirable to serve diverse client needs effectively Familiarity with office management procedures such as filing, proofreading, calendar management, and time management techniques Knowledge of medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is beneficial Excellent organizational skills with keen attention to detail and accuracy in typing and data entry tasks Ability to multitask efficiently in a fast-paced environment while maintaining a positive attitude Strong interpersonal skills to provide outstanding customer support and foster a welcoming atmosphere Join us in creating a professional environment where your organizational talents shine!
