Front Desk Receptionist and Administrative Assistant
Job Description
Overview We are seeking a dynamic and organized Front Desk Receptionist and Administrative Assistant to be the welcoming face and efficient coordinator of our office. This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional client interactions. Duties Greet visitors warmly, manage check-in procedures, and direct them appropriately Answer multi-line phone systems with professionalism, practicing excellent phone etiquette Handle incoming calls, messages, and inquiries promptly while providing exceptional customer support Manage appointment scheduling and calendar coordination for staff and executives Perform filing, and document proofreading to ensure accuracy and organization Maintain office supplies inventory and coordinate procurement as needed Assist with clerical duties such as word processing, creating reports, and managing correspondence using Microsoft Office and Google Workspace tools, Apple Provide personal assistant support including calendar management, and task prioritization Skills Strong office skills with experience in front desk operations and administrative support Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry software (Apple) Proven clerical experience with a focus on organization, filing systems, proofreading, and document management Exceptional customer service skills with the ability to handle client communication professionally via phone or email Skilled in managing multi-line phone systems, demonstrating excellent phone etiquette and responsiveness Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Effective time management skills to handle multiple responsibilities simultaneously while maintaining attention to detail Personal assistant experience including calendar management and scheduling coordination Join us in creating a welcoming atmosphere while supporting our office's operational excellence!
