Job Description

Job Summary We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming and professional environment. You will manage a variety of administrative tasks, support office operations, and assist with client communication. Your energetic approach and attention to detail will help keep our office running smoothly and efficiently. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a positive workplace atmosphere. Foreign language skills would be very much preferred. Responsibilities Greet visitors and clients warmly, providing excellent customer service and ensuring a positive first impression Answer multi-line phone systems promptly, directing calls accurately and professionally using proper phone etiquette Manage front desk operations, including scheduling appointments, handling inquiries, and maintaining visitor logs Perform data entry tasks with high accuracy using spreadsheets, Microsoft Office applications, and QuickBooks for financial record keeping Organize and file documents systematically, ensuring easy retrieval and maintaining office records Support office management by coordinating calendar appointments, managing schedules, and assisting with personal assistant duties as needed Handle clerical tasks such as proofreading correspondence, preparing Word processing documents, and managing office supplies Experience Previous office experience or administrative support roles demonstrating strong organizational skills and computer literacy Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and productivity software for efficient data entry and document creation Experience with multi-line phone systems and customer service roles that require clear communication skills Familiarity with QuickBooks or similar accounting software is preferred but not required Bilingual abilities are a plus to effectively communicate with diverse clients and team members Demonstrated ability to manage time effectively, prioritize tasks, and maintain professionalism in a fast-paced environment Personal assistant or front desk experience that showcases excellent organizational skills and client communication capabilities
Pay:
$25.39 - $30.58 per hour Expected hours: 40.0 per week
